Custom software for small businesses that have outgrown their tools.
Custom software development for small businesses of 20 to 500 people: the systems, integrations and AI you need once off-the-shelf tools and spreadsheets stop keeping up. One team from the first call to long after launch, a fixed price before we build, and code you own.

Who this is for
Most of the businesses we work with have between 20 and 500 people. They run on a handful of off-the-shelf systems: an accounting package, a CRM, and one industry system such as practice-management or field-service software. Spreadsheets fill the gaps between them. The software is usually fine. The gaps are where the hours go.
You are probably a fit if one of these is true:
- Someone types the same data into two systems every day.
- One spreadsheet runs a critical part of the business, and one person understands it.
- You tried an AI tool, it worked in the demo, and nobody uses it now.
- Calls, leads or invoices wait until someone has time.
When to hire someone else: if a subscription that costs a few hundred dollars a month does the job, buy the subscription, and we will tell you which one. If you are a five-person business, a freelancer or an off-the-shelf tool is usually better value than we are. We would rather say that here than on a call.
What we build
- AI voice agents that answer calls and book appointments directly in the system you already use.
- AI automation for back-office work that follows a pattern: intake, follow-up, data entry, reconciliation. For invoices, claims and forms, see AI document processing.
- System integrations, so your CRM, accounting, scheduling and industry software stop needing a person to carry data between them. We have pages for QuickBooks, HubSpot, Salesforce, NetSuite, Xero and Shopify.
- Power Automate and Power Platform work, for businesses that run on Microsoft 365, including Power BI dashboards.
- Excel automation, and internal tools and dashboards that replace the spreadsheet everyone depends on. See Custom Software.
- Private AI that runs in your own cloud or on your own servers, and MCP servers that let AI assistants use your systems safely.
- Client and patient portals that handle real transactions. See Digital Platforms.
What small businesses have had us build
Four examples, each with the full write-up.
| The business | What wasn't working | What we built |
|---|---|---|
| A 26-provider dental group in the US | Three or four calls in every ten went unanswered at peak times | A voice agent inside the scheduling system that answers on the first ring and books against the practice's own rules. Read the case study |
| A distributor running 500 routes across twelve states | Routes, stock and demand were planned in separate spreadsheets | One data model for routing, stock and demand that takes traffic and weather into account. Read the case study |
| A retailer with 500 products | Twelve hours a day in spreadsheets, and still no answer on what to promote next | An analytics layer that answers the question from data the business already had. Read the case study |
| A B2B services firm | Leads went cold because follow-up depended on who had time | A calling agent that qualifies inbound leads and handles the callbacks. Read the case study |
What it costs
We don't publish a rate card. The price depends on how many systems are involved and how much of the work needs judgment rather than rules, and a number printed without that would be a guess.
The price gets set after a short discovery and mapping phase. You get a fixed scope and a fixed price, that is the number you approve, and nothing is billed by the hour.
For market numbers, read our guide to what custom software development costs. It uses published figures from Clutch and the US Bureau of Labor Statistics, not ours. There are also guides to what a custom CRM costs and offshore development rates by country.
How we start: the Automation Audit
The Automation Audit
One workflow you name, mapped end to end, with the arithmetic done before anyone writes code.
- Scope
- One workflow you choose, traced end to end, including the steps nobody documented.
- Duration
- Two weeks, fixed.
- Fee
- Fixed, and quoted in full before we start. No hourly drift.
- You get
- A written map: what can be automated, what it would save in hours, what building it would cost, and what we would leave alone.
- You keep it
- The map is yours whether or not you hire us to build anything.
And if the audit shows the automation will not pay for itself inside twelve months, we will tell you, and we will not quote the build.
Working with a team in Islamabad
We are based in Islamabad, Pakistan, and we work US business hours. These questions come up on almost every first call:
- Is our data safe with you? We are certified to ISO/IEC 27001:2022, and the certificate's scope covers our software work and our people working remotely. The certificate and its full scope are published.
- Whose law applies? Your engagement contract can use your own state's law or neutral arbitration. We agree that with each client.
- Who owns what we pay for? You do: the code, the data and the infrastructure. Everything goes into a repository you control from the first day.
- Will we keep dealing with the same people? Yes. The team that scopes your system builds it and supports it after launch.
- We handle patient data. A Business Associate Agreement is available, and our guide to HIPAA compliant app development covers what the rules ask of the software.
Questions small businesses ask us
Do we have to replace the software we already use?
Usually not. Most of our work connects the systems you already pay for. When replacing one is the right call, the audit says so and shows the arithmetic.
How long does a first project take?
The audit takes two weeks. After that you get working software every two weeks, committed to your own repository, so you see progress instead of waiting for a launch day. The timeline for the whole build is part of the fixed scope.
What happens after launch?
You get a runbook, a named engineer on call and a monthly service review. Our support commitments are published: one hour to respond to a production outage, any day of the week. See all four.
What if you're not the right firm for us?
Then we say so, and usually point you to a tool or a firm that is. If the audit shows an automation won't pay for itself within twelve months, we won't quote the build.
