HubSpot API integrations that keep the CRM in step with the rest of the business.
HubSpot is only as useful as the data in it. Our HubSpot API integration services connect it to the systems where orders, invoices, calls and product usage are recorded, so your team works from records that match the rest of the business.

What we connect HubSpot to
- Accounting and ERP: QuickBooks, Xero, NetSuite and Microsoft Dynamics 365, so sales can see what a customer owes and finance sees what was sold.
- Salesforce, for companies that run marketing in HubSpot and sales in Salesforce, or are moving from one to the other.
- Phones and messaging: Twilio, Microsoft Teams and Slack, so calls and their outcomes are logged on the record.
- Your own product or database, so usage, renewals and support history sit on the contact and company.
- Your data warehouse, for reporting HubSpot can't do on its own.
Decide who owns each field
Most HubSpot integration problems come from two systems both believing they own the same field. A billing address edited in HubSpot and in the ERP on the same day will leave one of them wrong.
So before we build, we write a field ownership map with you: for every property that moves, which system is the source of truth, which direction it flows, and what happens when both change. HubSpot deduplicates contacts by email address and companies by domain, and the map also says how records from the other system are matched to them. It's a short document, and it decides most of what the integration does.
The API limits that shape the design
HubSpot publishes its limits for privately distributed apps, which is what a custom integration for one company is:
| HubSpot tier | Requests per 10 seconds, per app | Requests per day, per account |
|---|---|---|
| Free and Starter | 100 | 250,000 |
| Professional | 190 | 625,000 |
| Enterprise | 190 | 1,000,000 |
| With the API limit increase add-on | 250 | 1,000,000 more per increase, up to two |
The daily limit is shared by every app installed in your account. An integration that re-reads every contact each night can use up the allowance your other tools depend on. We use batch endpoints, subscribe to change events instead of polling, and backfill history slowly so day-to-day traffic isn't crowded out.
How we build a HubSpot integration
- Changes flow as they happen, from HubSpot's webhooks and from the other system's own events.
- Each change is applied once, even if it arrives twice.
- Records that fail validation go to a review queue with the reason attached, where a named person clears them.
- The integration is installed in your HubSpot account under your control, and the code sits in your repository.
- You get a runbook: what it syncs, where to look when something looks wrong, and how to pause it safely.
More on this pattern is on our custom API integrations page.
HubSpot work we have done
For a B2B services firm we built an AI calling agent that qualifies inbound leads and handles callbacks, connected to HubSpot, Salesforce, Twilio, Microsoft Teams and Slack. What was said on each call is written to the CRM without anyone typing it in. Read the case study.
If your team is weighing an AI agent that works inside HubSpot, our guide to what AI agent development costs compares building one with the vendors' own agent pricing.
What it costs
A one-way sync of a few objects from a system with a good API is a small project. Two-way sync, custom objects, several systems, or a migration of years of history is a larger one. We fix the price after the field ownership map exists. For market figures, see what custom software development costs. If you are weighing HubSpot against building your own, see what a custom CRM costs.
The Automation Audit
One workflow you name, mapped end to end, with the arithmetic done before anyone writes code.
- Scope
- One workflow you choose, traced end to end, including the steps nobody documented.
- Duration
- Two weeks, fixed.
- Fee
- Fixed, and quoted in full before we start. No hourly drift.
- You get
- A written map: what can be automated, what it would save in hours, what building it would cost, and what we would leave alone.
- You keep it
- The map is yours whether or not you hire us to build anything.
And if the audit shows the automation will not pay for itself inside twelve months, we will tell you, and we will not quote the build.
Questions we get asked about HubSpot integrations
Which HubSpot tier do we need?
All tiers have API access. The limits in the table above differ by tier, and some features, such as custom objects, need Enterprise. We check your tier against the design before we quote.
Can you move us from Salesforce to HubSpot, or the other way?
Yes. A CRM migration is an integration that runs once, with the same field map, matching rules and reconciliation. We usually run both systems in parallel for a short period so nothing is lost at cutover.
Will a HubSpot marketplace app do the job?
Sometimes. If one does, we will recommend it and help you configure it. Check what it syncs, in which direction, and how it reports a failure before you rely on it.
What happens when HubSpot changes its API?
HubSpot versions its developer platform and announces changes in its changelog. Monitoring flags failed calls, the review queue holds data until the fix is in, and handling platform changes can be written into the support agreement.
