The gap between trying AI and using it
In the US Chamber of Commerce's 2025 report, 58% of small businesses said they use generative AI. The Census Bureau asks a narrower question, whether a business uses AI to produce its goods or services, and between December 2025 and May 2026 the answer was 17% to 20% of firms.
The distance between those two numbers is the distance between trying a chatbot and running AI inside the work. What usually goes missing is the work around the tool: connecting it to the systems where the work happens, deciding what it may do on its own, and making someone responsible for it.
What to automate first
The best first candidates share a pattern: the work arrives in a predictable shape, happens often, and waits for someone to have time.
- Intake: forms, emails, orders and documents that someone reads and retypes into another system.
- Follow-up: leads, callbacks and reminders that depend on who is free that afternoon.
- Data typed twice, from CRM to accounting, scheduling to billing, or one spreadsheet to another.
- Work that is finished but not yet billed. This worked example shows what that gap costs in working capital.

What we don't automate is a decision with real consequences and no one reviewing it. AI can draft the decision and gather the evidence. A person signs it off.
Tools or custom code?

Questions we get asked about AI automation
Will this replace our staff?
It replaces tasks, usually the ones your staff like least: retyping, chasing and checking. Whether that frees people for other work or slows hiring is your decision, and the audit tells you how many hours are involved before you make it.
What if the AI gets something wrong?
It will, sometimes. So each automation we build has a defined route for exceptions: uncertain cases go to a person with the context attached, and consequential actions keep a reviewer.
Do we need to change our systems first?
No. We start from the systems you run today. If one of them can't be connected safely, the audit tells you before you spend anything on a build.
How is it priced?
